We are seeking a highly organized and bilingual (English and Spanish) Assistant to support the preparation and organization of our upcoming 2-day corporate conference scheduled to take place in mid-December in the city of Málaga. The ideal candidate will help with various pre-event tasks in our Marbella office.
Job Overview:
The Administrative Project Assistant will join the Office of the CEO and play an important role in managing a diverse range of tasks. This role combines administrative support with project coordination, spanning areas such as event organization and content creation. The ideal candidate is highly organized, proactive, and versatile, with the ability to juggle multiple priorities while maintaining a high level of professionalism. Since the role's purpose is to provide comprehensive support to the CEO office, this is a fully onsite position, and a vehicle is required to fulfill these responsibilities effectively.
Key Responsibilities:
Assist in managing the CEO’s calendar, scheduling meetings, and ensuring efficient time management.
Coordinate travel arrangements and prepare itineraries for the CEO.
Overseeing occasional errands and ensuring the CEO's needs in the office are met.
Maintain confidentiality and exercise discretion when handling sensitive information.
Project coordination
Assist in organizing corporate events, including conferences and team building activities for the management team.
Support the coordination of specific projects, ensuring timely and high-quality delivery.
Liaise with cross-functional teams to execute initiatives effectively.
Content Creation:
Assist in designing engaging presentations and materials for the CEO’s meetings, public speaking engagements, and training sessions.
Research and collect internal digital assets to create social media posts
Collaborate with relevant departments to ensure consistent branding and messaging.
Administrative Duties:
Prepare and process expense reports and budgets for CEO-related activities and projects.
Maintain organized records and files for easy retrieval and reference.
Conduct research and compile data to support decision-making and planning.
Qualifications:
Education and Experience:
Bachelor’s degree in Business Administration, Communications, or a related field.
Experience in administrative support, project management or event coordination is highly desirable.
Skills and Competencies:
Organizational Skills: Exceptional ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Communication: Excellent verbal and written communication skills, with an eye for detail.
Technical Proficiency: Proficient in Microsoft Office Suite, presentation tools, and social media platforms.
Design and Animation: Knowledge in design and animation is a plus.
Problem-Solving: Strong analytical and problem-solving skills, with the ability to anticipate needs and take initiative.
Interpersonal Skills: Professional demeanor with the ability to work collaboratively across all levels of the organization.
Adaptability: Thrives under pressure and adjusts to changing priorities with ease.
A valid driver’s license and a car are required for this position
